Typical set-ups, worked out with the formula above at local print shop rates.
| Restaurant | Menus × reprints | Print shop / year | MenuFly / year |
|---|---|---|---|
| Small cafe, standard menus | 10 × 2 | ₹5,000 | ₹2,400 |
| Family restaurant, hard cover | 25 × 2 | ₹25,000 | ₹14,000 |
| Busy QSR, non-tearable | 40 × 4 | ₹96,000 | ₹38,400 |
| Hotel or fine dining, leather | 60 × 1 | ₹48,000 | ₹28,800 |
The cover and binding make the biggest difference. A laminated wiro-bound menu is the cheapest to print; board covers, book binding and leather finishes cost more but last longer and feel more premium in the hand.
Every extra page adds paper, printing and lamination. A long menu split across many pages costs more per copy than a tight single-sheet card, so it pays to keep the menu focused.
Printing all your menus in one batch is cheaper per menu than ordering a few at a time. Count your tables, add spares, and print them together.
Reprints are the hidden cost. Each price change, new dish or worn-out card means printing the whole set again, which is why the calculator multiplies by reprints a year.
Menus at busy or outdoor tables get spills, folds and torn corners. A non-tearable or hard cover menu costs a little more once, and saves reprinting worn cards every few months.
Most of the money goes on reprinting, not on the first print. These habits cut it down.
A typical print shop charges about ₹250 for a standard 5.2 × 11 inch printed menu and ₹500 to ₹800 for hard cover, book binding or leather menus. MenuFly prints the same menus from ₹120 (standard), ₹240 (non-tearable), ₹280 (hard cover), ₹400 (book binding) and ₹480 (leather), with design included.
Yearly cost = number of menus × times you reprint in a year × price per menu. For example 20 menus reprinted twice a year at ₹600 each is 20 × 2 × ₹600 = ₹24,000 a year.
Standard printed menus suit most cafes and casual restaurants. Choose non-tearable menus for high-turnover or outdoor tables, hard cover for menus that are handled a lot, and book binding or leather for long menus, hotels and fine dining.
A common rule is one menu per table plus 10 to 20 percent extra for the counter, takeaway and replacements. A 15-table restaurant usually needs 18 to 20 menus.
Most restaurants reprint once or twice a year, when prices change or dishes are added. Busy restaurants with seasonal menus or worn cards often reprint every quarter.
Print at a lower price per menu, pick a durable material so cards last longer, and keep one item list for your QR menu and printed menu so daily price changes go online first and you reprint less often.
